Section 2: Advising Tools

2.1 OwlNet

OwlNet is WWU’s web interface system that gives advisors access to their advisee list as well as course histories and current class schedules.  It will also allow you to check who your advisees are each semester, as changes can occur.  Please utilize this tool to better understand the path your student has taken as well as ideas on future schedules for completion of common study requirements

  • Log in to OwlNet
  • Click on Academics
  • Click on Faculty (worded in bold, not underlined)
  • Advisee roster will be in a box on the right side of the screen
  • In the search criteria be sure to have ALL in the bottom box and ACTIVE in the top box. Leave ID blank unless you are searching only for a specific student and know his/her ID number

Once you have accessed your list, click on the appropriate advisee for a drop down menu that will give you information on course history, current schedule and other useful information.  Currently there is nothing that calculates their GPA on OwlNet, but with their course history there is a listing of grades.   

 

   

 2.2 Student advising folder

Student advising folders are put together by the Coordinator of Academic Advising and contain materials from the Enrollment Services and Registrar’s offices. If you do not have an advising folder for each advisee on your roster please contact Bonnie Carr and she will send you one.

Advising folders usually include:

  • Student course history (In OwlNet)
  • High school records
  • Transfer records
  • ACT/SAT scores
  • Courses they will take during Freshman Advantage, if any
  • Common Studies checklist
  • Major/Minor Checklists once a student has declared a major. To find the most current version of the Major/Minor checklists, as well as past catalog checklists, follow this link Major/Minor Checklists
  • Notes from advisors

Advisors are strongly encouraged to document meetings with advisees.  These notes may include discussions about changing majors, dropping courses, or potential coursework in future semesters.  These notes are particularly helpful not only to the current advisor, but any future advisors the student may have.

High school records can be helpful in assessing each student’s strong points.  Transfer students are not required to submit high school transcripts.

The Registrar sends a Transfer Equivalency form to students after evaluating transcripts from other institutions.  This form indicates which WWU courses the student has received credit for via transfer work.   A copy of this form is also forwarded to the advisor and should be placed in the student’s advising folder.

2.3 Student Alerts

Professors are asked to report the names of any students who are struggling or doing exceptionally well to the Coordinator of Academic Advising.  The information will be recorded in a database to track student achievement and progress. 

If a student is struggling, an email alert will be sent to the faculty advisor.   This alert will contain information on a current grade, the reason for the alert, and possibly suggestions from the professor on what the student needs to do to improve.  The faculty advisor should then talk to the student about the situation and what the student needs to do to improve it.  That typically means meeting with the faculty member, improving time management, reviewing the assignment/test preparation, or withdrawing from the course.  When discussing course withdrawal, be sure to make the student aware of possible changes in academic, financial and residential status.

 

2.4 Academic Progress Board

The Academic Progress Board works as an intervention with a student whose

overall academic success is in question. The Board will convene when the

Coordinator of Academic Advising refers a student. The referral is based on the number of Student Alerts the student amasses during a semester. 

A review by the board is considered the final stop in addressing an academic problem. The board consists of the Associate Academic Dean, the Coordinator of Academic Advising, and at least one faculty member.
